Commitment to Standards in Fundraising Practice

Public Statement

UCD Foundation is committed to achieving the standards contained within the Statement of Guiding Principles for Fundraising.

The Statement exists to:

  • Improve fundraising practice
  • Promote high levels of accountability and transparency by organisations fundraising from the public
  • Provide clarity and assurances to donors and prospective donors about the organisations they support

UCD Foundation has considered the Statement and believes it meets the standards it sets out.

Public Compliance Statement

  • UCD Foundation is committed to complying with the Statement for Guiding Principles for Fundraising and has formally discussed and adopted the Statement at a meeting of the Board of Directors.
  • UCD Foundation confirms its commitment to the principles set out in the Statement of Guiding Principles for Fundraising by a statement to that effect in its annual report.
  • UCD Foundation has a Donor Charter which is consistent with the Statement of Guiding Principles for Fundraising.
  • UCD Foundation regularly monitors compliance with the Statement of Guiding Principles for Fundraising and compliance reports are received regularly by the Board of Directors.
  • UCD Foundation considers the Statement of Guiding Principles for Fundraising when planning all fundraising activity.
  • UCD Foundation provides honest, open and transparent disclosure in all its fundraising activities.
  • UCD Foundation has appointed a member of the Board of Directors and a senior member of staff to be responsible for compliance with the Statement of Guiding Principles for Fundraising.
  • UCD Foundation ensures that fundraising staff are provided with information and training on the Statement of Guiding Principles for Fundraising and its implementation.
  • UCD Foundation has a feedback and complaints procedure consistent with the Statement of Guiding Principles for Fundraising. Feedback is recorded for review by relevant staff including the President and Board of Directors. Feedback is responded to promptly and appropriately.
  • UCD Foundation prepares financial reports consistent with the requirements of the Charities Act 2009 which include a statement concerning the extent to which control of the organisation is independent of its funding sources.
  • UCD Foundation ensures that all donations are tracked and recorded and complies with data protection requirements.
  • UCD Foundation is accessible to the public through a number of readily available contact options.

Donor Charter

UCD Foundation has a long and distinguished history of support from benefactors who share its belief in the importance of excellence in teaching and research. The Foundation’s future success increasingly depends on the generosity of alumni and friends to help the University achieve its goals, and the Foundation is committed to developing a relationship of mutual trust and respect with all its donors

UCD Foundation’s donors have the following rights:

  • To be treated by members of the UCD Office for Vice-President of Development and other University staff involved with the solicitation and receipt of donations in a fair, transparent, accurate and honest manner in accordance with all applicable laws and the professional code of fundraising ethics and good practice.
  • To be informed in all fundraising solicitations of the Foundation’s name, contact details and charitable status.
  • To receive fundraising solicitations and stewardship reports from the Foundation that are truthful, accurately describe the Foundation’s activities and the intended / actual uses of donated funds.
  • To be kept informed of the impact of their philanthropy and the University’s evolving needs and priorities. This includes receiving progress reports on supported activity and invitations to attend relevant events to see first hand the benefits their support brings the University.
  • To be informed whether those seeking donations are volunteers or employees of the Foundation or UCD.
  • To be assured that donors’ rights to privacy will be respected, including their right to have their details deleted from our mailing lists, and that there will be full compliance with the Data Protection Act 1988 and 2003.
  • To receive appropriate acknowledgment, recognition and publicity for their donation and to respect anonymity if requested.
  • To be kept informed of the recruitment process and appointment when they have supported an academic post or scholarship. Donors do not have the right to nominate or participate as a member of a search or selection committee.
  • To expect that all relationships with individuals representing the Foundation will be professional in nature
  • To be informed of the identity of those serving on the Foundation’s Board, and to expect the Board to exercise prudent judgment in its stewardship responsibilities.
  • Donor information will be used by the Foundation to maintain contact with donors and to keep donors up-to-date with information about the Foundation, its events and achievements. Alumni contact details only are shared with the UCD Alumni Office to maintain up-to-date contact information subject to their consent. Donors’ names may be published in the annual honour roll.

All donations:

  • Will be applied to the purpose for which they were originally intended. The academic priorities of the University will change from time to time. Should this happen, alternative uses for restricted donations will be discussed with the donor or the donor’s representative and approval sought.
  • When undesignated gifts are received, they will be used for such purposes as the Foundation and University determine will best advance its academic priorities.
  • Will be acknowledged promptly.
  • Will be subjected to an annual audit by a firm of independent Auditors, and will be available in UCD Foundation’s annual return to the Companies’ Office.

The Foundation:

  • Will adhere to all the guidelines and requirements contained in the forthcoming Charities Bill and associated Statement of Guiding Principles of Fundraising, in particular the core principles of respect, openness and honesty.
  • Reserves the right to decline gifts where acceptance would compromise its fundamental principles.
  • Will make available, on request, the agreed procedure for making and responding to complaints.

The Foundation welcomes support from individuals, foundations, corporations and organisations, and would be delighted to discuss ways in which relationships may be fostered with potential benefactors. Disclosure Statement

UCD Foundation is open about whether those seeking donations on their behalf are volunteers, employees of the organisation or are third party agents.

Anyone fundraising on behalf of UCD Foundation must ensure that prospective donors are aware of their status, i.e. volunteers, employees or third party agents.

Handling Feedback and Complaints

UCD Foundation is committed to ensuring that all our communications and dealings with the general public and our supporters are of the highest possible standard.

We listen and respond to the views of the general public and our supporters so that we can continue to improve.

We welcome both positive and negative feedback. Therefore we aim to ensure that:

  • It is as easy as possible to make a complaint;
  • We treat as a complaint any clear expression of dissatisfaction with our operations which calls for a response;
  • We treat it seriously whether it is made by telephone, letter, fax, email or in person;
  • We deal with it quickly and politely;
  • We respond accordingly – for example, with an explanation, or an apology where we have got things wrong, and information on any action taken etc;
  • We learn from complaints, use them to improve, and monitor them at our Board.

In the first instance, your complaint will be dealt with by our one of Directors (or other named office holder with sufficient seniority to address the complaint).
